I respect your personal information and will only ask you for such information that I really need from you. I will look after it in the same way I would want mine looking after, in other words, I will keep it secure. I will only share it with others where I need their help us deliver a service to you (such as the professional printing laboratory I use, who may need your name and address to post your purchases). Be assured that I will never share your information in any other circumstances – nor will I sell it on elsewhere.

Emma Lord Photography takes your privacy very seriously. This privacy policy has been prepared in line with the EU’s General Data Protection Regulation (GDPR), which promotes fairness and transparency for all individuals in respect of their personal data. This privacy policy applies to all data processed by the business, and by using Emma Lord Photography, you consent to the collection and use of such data.


1. The Data Collected by Emma Lord Photography

As a data controller I collect a variety of data in order to deliver services, and I will manage your personal data transparently, fairly and securely. 

I may ask you to provide the following data:

  • First and last name

  • Postal address (including house number and post code)

  • Telephone number

  • Email address

  • Signed consent forms so that I may use images on my website or for other marketing purposes and subject to clear restrictions (please note that consent forms are optional)

  • Date of birth for all persons photographed under the age of 13, and signed consent from a parent or legal guardian to approve the photography


Obviously being a photographic business I also create and manage images as per our contractual agreement(s). 


I use the above listed data to:

  • Deliver services to you

  • Keep you in touch in respect of booking sessions

  • Provide access to password protected sections of my website so that you may view your photographs

  • In the case of photographic prints from my art website, provide a delivery address to the professional print service I use

  • Please note that in the case of photography sessions, final images are delivered to me to pass to you in person (where practical, and if not practical, I will personally post the prints to you)

  • Send you latest blog posts (if you have opted in to this service)


I collect this data on the following lawful basis:

  • To arrange a contract with you

  • To fulfil a contractual arrangement with you

  • To meet legal obligations other than contracts

  • To provide consent for photography sessions involving children under the age of 13

  • To provide consent for me to use images from our photo session on my website or for other marketing (this is optional and any images used are subject to certain restrictions)


When you visit my website, the site collects Cookies. These are small pieces of data that websites send to a user's computer and are stored on the user's web browser. They are designed to enable the website to remember information, such as what a user might have put in a shopping cart for example. 


This helps to:

  • Personalise your experience

  • Deliver the service to you

  • Make the service easier to use (for example, if you navigate away from the page, your shopping basket items remain in place for when you return)


2. Which third parties do I share Personal Data with?

Personal data is shared with the following third parties: 

  • Loxley Colour (Professional Photographic Print Services)

  • Google Analytics (provides me with information on how my sites are performing)

  • Gmail (my business email account)

  • Wix (the website platform which I use for all sites other than my blog)

  • Code 42 CrashPlan (the service I use to back up all data on my computer)

  • Wordpress (my blog template platform – only if you sign up to receive blog posts)

  • BlueHost (my blog operational platform – only if you sign up to receive blog posts)

  • Tutorful (only if you sign up for photography tutoring services)

  • PayPal (only if you buy prints from the shop website)

  • SSL Secure Shopping (only if you buy prints from the shop website)


Some of this data is not transferred outside the European Economic Area. Where data is transferred outside of the European Economic Area to the United States, this data is transferred under the protection of EU/US Privacy Shield.

There are also certain situations in which I may share access to your personal data without your explicit consent; for example, if required by law, to protect the life of an individual, or to comply with any valid legal process, government request, rule or regulation. 

3. Why do I share your Personal Data with the above?

I share your data in order to:

  • Deliver a service to you

  • Personalise your experience

  • Ensure that my websites are running efficiently

  • Keep in touch with you

  • Provide personal access to password protected sections of my website so that you may view your prints

  • Enable you to make purchases via the website

  • Enable you to subscribe to my blog

  • Enable you to request photography tutoring services


I may transfer personal data to a country outside of the European Economic Area (EEA) if necessary, for example, if a third party I utilise has servers located outside of the EEA. If this is the case, I will either obtain your consent or otherwise ensure that the transfer is legal and your data is secure by following the EU's guidelines. 

4. How do I keep your personal data secure?

I keep your data secure by:

  • Following internal policies of best practice, and ensuring I remain up to date on latest legislation and procedures

  • Using Secure Socket Layer (SSL) technology when information is submitted to me online

  • Providing secure payment methods for customers using the online shop

  • Using an industry leading data protection security system for backing up the information I keep 

  • Hard copy documents are kept in a locked filing cabinet


In the unlikely event of a criminal breach of my security, I will inform the relevant regulatory body within 72 hours and, if your personal data were involved in the breach, I will also inform you. 

5. Changes to my privacy policy and control

I may change this privacy policy from time to time. When I do, I will let you know by changing the date on this policy, notifying customers of only significant changes. By continuing to access or use my services after those changes become effective, you agree to be bound by the revised privacy policy. 

6. You have the following rights:

  • The right to be informed about the collection and use of your personal data 

  • The right of access to your personal data and any supplementary information 

  • The right to have any errors in your personal data rectified 

  • The right to have your personal data erased 

  • The right to block or suppressing the processing of your personal data 

  • The right to move, copy or transfer your personal data from one IT environment to another

  • The right to object to processing of your personal data in certain circumstances, and 

  • Rights related to automated decision-making (i.e. where no humans are involved) and profiling (i.e. where certain personal data is processed to evaluate an individual)

While I do not hold personal data any longer than I need to, the duration will depend on your relationship with me, and whether it is ongoing. I may keep some of your personal data for:

  • Up to 7 years after my working contract with you has finished, for Tax legislation purposes. After this time, I will archive your photographs indefinitely along with your relevant details and consent forms. This is due to requests for replacement images being made several years after being taken.
